We have many years working with Charities to help with fundraising.  Our large ballroom area has a stage and up to date sound system; microphones are available for the all-important auctions to take place.

Our main function room, The Coney Suite, can accommodate up to 300 guests. The Hobbit Hall is our next largest room and can accommodate up to 150 guests. We also have other private function rooms available for a more intimate function or event.

How many people can the rooms accommodate for private functions?

Our private function rooms vary in size and can host from 18 to 300 people, depending on the room and the layout chosen. For exact details about each of our event rooms check out our floorplans and individual room pages.

How far in advance do I need to book the venue for my private function?

We get pretty busy so we recommend you book your private function room as early as possible to avoid disappointment. Generally, it’s advisable to book at least 3 to 6 months in advance. However, if you have a specific date in mind on shorter notice, don’t hesitate to contact our team to discuss availability, and we’ll do our best to accommodate you whenever possible.

Do I have to be a member to host a private function at The Warren?

The Warren is a members’ club with a strong connection to the Metropolitan Police Service, but you do not need to be a member of the club or of the Metropolitan Police Service to hire our facilities for your private function. However, being a member has many benefits, such as access to bars and restaurants, discounts on events, sports facilities and venue hire packages.

How can I make a booking for a private function at The Warren?

To secure a function room hire for your upcoming private event, simply contact us either via our contact form on our website, or by calling us on 020 8462 1266. Our friendly team will be happy to discuss your requirements and help you select the ideal option for your private function hire.

How long can we provisionally hold a date?

We know that planning a private function requires careful consideration and planning. We can therefore provisionally hold a private function room for you until another enquiry comes in for the same date and room hire. We will then give you priority to decide if you’d like to confirm the booking and secure your desired function room.

What deposit is required to confirm the booking?

We require a non-refundable deposit of 50% of the Hall Hire price at the time of booking, and the signed contract to be returned. This ensures your function room is reserved for your special event allowing us to secure your reservation.  The remaining Hall Hire balance is due six months before the date of your booking with the final outstanding balance being due 6 weeks before your event takes place.

What payment options are available?

We accept several payment options to make it convenient for you to pay for your private function room hire, including BACS transfer, card, or cheque.

Is the function room hire fee cheaper if we don’t book weekends?

Yes, the private function room hire fees are generally cheaper if you book on weekdays rather than weekends. This is because weekends are a popular time for private functions and weddings, and the demand for our rooms is typically higher so choosing a weekday will usually mean you can benefit from a lower tariff.

What is your cancellation policy?

We appreciate that sometimes life happens, and circumstances may arise that require you to cancel your private function. We require full payment six weeks before the event date which is non-refundable. However, we would be happy to work with you to find a suitable alternative date to reschedule your function, subject to availability.

How late can functions run until?

Typically, private functions like birthday parties and anniversaries wrap up by 11pm, however The Warren is open until midnight.

Are we able to get a late extension for our function?

The Warren does not issue late licences, and these need to be applied for from the local council, to allow your private function to continue beyond midnight. We are happy to discuss details with you, including the procedure and any extra costs. Kindly note that we require a minimum of six weeks’ notice for any license extension request, and approval is not guaranteed. Feel free to discuss this with our team for your specific needs, and they will be glad to assist in any way they can.

How long will I have in the venue before my event for decorating and preparing it for the function?

The amount of time allotted for arranging and decorating the private function room prior to your event may vary based on other scheduled events, however we always make certain that there is plenty of time available for you. When making the booking, please check with our team if you think your decorations may require extra time, to ensure this can be catered for.

When do decorations and personalisations need to be out of the venue by?

Generally we request that all items be cleared out of the private function room by 10 am the following day at the latest. However, the specific time may vary depending on other bookings. Our team will discuss any variations to this with you, if necessary. 

Is there a cloakroom that guests can use to leave coats and personal items?

Yes, we have a cloakroom where your guests can safely store their coats and personal items, managed by our staff, who will ensure your guests’ items are well-taken care of, allowing them to enjoy the festivities without worrying about their possessions.

Is there a smoking area?

Yes. Although smoking is not permitted inside the function rooms or venue, we have smoking areas outside where smoking is allowed.

Is there free parking?

We offer free parking for up to 78 vehicles, including three designated disabled spaces, ensuring convenient and secure parking for your guests.

Can we bring my own food?

Unfortunately, we do not allow outside food to be brought in for private functions. Our in-house catering team provides a wide range of delicious food options that can be tailored to suit your specific event needs, preferences, and dietary requirements.

What catering options are available for private functions?

The Warren provides an extensive selection of food options to accommodate various preferences and budgets for private functions. Our skilled, in-house chefs can craft anything from a small buffet for intimate gatherings to a grand banquet for more formal events. Food options offered may vary depending on season and current menus, but examples of the type of food that might be available include:

  • Buffet-style catering: A selection of hot and cold dishes, salads, and desserts, perfect for guests to serve themselves and mingle.
  • Seated dining: A more formal option with multiple courses, ideal for sit-down events like anniversary dinners or engagement parties.
  • Canapés and finger foods: A popular choice for cocktail parties or networking events, where guests can enjoy light bites while socializing.

Is there a minimum spend on food & drink for private functions?

No, there is no minimum spend requirement. Our goal is to provide a stress-free experience, without any hidden costs or minimum spending obligations. We offer a variety of all-inclusive packages tailored to accommodate different budgets and preferences.

Do you have a cash bar or an open bar system?

We offer both cash bar and open bar options to suit your private function needs. The cash bar option allows guests to purchase their drinks individually during the event, selecting from a wide array of beverages and spirits. The open bar option allows guests unlimited access to a range of drinks for a predetermined time or spend, which can be set according to your preferences and budget.

What time does the bar stop serving drinks?

For private functions, the bar closes at midnight on Mondays to Saturdays, ensuring guests can enjoy the festivities late into the night. On Sundays, the bar closes earlier at 10:30 pm. 

Can we decorate the function room and are there any décor restrictions?

Yes, you are welcome to decorate the function room to personalize it for your private event. However, there are a few décor restrictions to ensure the safety and integrity of the venue, and the comfort and safety of guests. These include but are not limited to:

  • Open flames, such as candles or fireworks, are not permitted
  • Glitter or confetti is not allowed, as it can be difficult to clean up and may pose a slipping hazard.
  • Smoke machines are not permitted

Are there dance floors in the function rooms?

Our two primary function rooms, The Coney Suite and the Hobbit Suite, both feature spacious dance floors.

Can The Warren accommodate live bands or a DJ for private functions? 

Absolutely, The Warren is well-equipped to host live music or DJs. We offer several rooms suitable for this, depending on the size of your guest list and the desired musical ambiance.

Do you have your own sound equipment, or will the entertainment need to bring these?

We can provide sound equipment and speakers, however, it is not uncommon for bands and DJs to prefer using their own equipment, which we are happy to accommodate as well.

Can we plug an iPhone into your sound system for the music at our event?

Certainly, you can connect an iPhone or other portable music devices to our sound system.

What time do you allow the music to play until?

You are permitted to play music at your private function until midnight inside the venue. This ensures that you can enjoy the celebrations throughout the evening and into the night.
